Please read these terms carefully before registering for the ASEAN Future Skills and Leadership Summit — 10–13 September 2026, Lagoi, Bintan Island.

1. Scope, Organizer, and Event
These Terms and Conditions apply to registrations for the ASEAN Future Skills & Leadership Summit 2026 (the “Event”). The “Organizer” means PT Bintan Resorts Cakrawala, trading as Bintan Resorts, or the organizing entity identified on the applicable registration page, invoice, or confirmation. Service providers, venue operators, academic collaborators, speakers, and sponsors are not the Organizer unless expressly stated otherwise.
The Event is currently scheduled for 10–13 September 2026 in Lagoi, Bintan Island, Indonesia, with the core summit program expected to take place on 11–12 September 2026. The final venue, schedule, inclusions, and participant arrangements are those stated in the latest written confirmation issued by the Organizer.
2. Eligibility, Registration, and Confirmation
Participants must be at least 18 years old unless the Organizer gives prior written approval. Participants must provide complete, accurate, and current information, including their legal name as shown on travel documents, contact details, organization, dietary requirements, and information reasonably required to deliver the Event.
Submitting an enquiry, application, or registration form does not guarantee a place. Registration is confirmed only when the Organizer issues written confirmation and receives the required payment by the stated deadline. The Organizer may decline or cancel an incomplete, duplicate, fraudulent, unpaid, or otherwise ineligible registration, subject to applicable law.
Where an organization purchases multiple passes, that organization is responsible for payment and for ensuring that each nominated participant receives and accepts these Terms. Each pass is assigned to the confirmed individual named in the registration record.
3. Fees, Taxes, and Payment
Fees are stated in United States Dollars unless another currency is expressly indicated on the invoice or registration page. The participant or purchasing organization is responsible for bank charges, exchange-rate differences, card charges, withholding obligations, and other payment costs unless the Organizer confirms otherwise in writing.
Payment must be completed by the deadline stated in the invoice or confirmation. The Organizer may release an unpaid reservation without further obligation after the deadline. Partial payment does not secure a place unless expressly accepted in writing.
All optional add-ons, room upgrades, additional nights, companion arrangements, and executive experiences are charged separately unless expressly included. These purchases follow the same participant-cancellation terms in Section 5 and may also be subject to stricter third-party supplier conditions disclosed before purchase.
4. What the Registration Fee Includes
The registration fee includes only the items stated in the participant’s official registration confirmation. Depending on the purchased package, inclusions may comprise:
- the executive education program, scheduled plenary and breakout sessions, program materials, and a certificate of participation subject to attendance requirements;
- three nights’ accommodation in the assigned standard room category;
- scheduled meals and refreshment breaks;
- designated ground transfers between the announced arrival point and the Event venue; and
- selected networking or executive experiences identified in the confirmed package.
Airfares, ferry tickets, visa fees, travel insurance, personal expenses, minibar, room service, laundry, incidental hotel charges, optional activities, room upgrades, additional nights, and transportation outside the published arrangements are excluded unless expressly confirmed in writing.
5. Participant Cancellation, Non-Refundability, and No-Shows
Participant-initiated cancellation. Once payment has been made and the registration has been confirmed, all fees are non-refundable if the participant or purchasing organization cancels, withdraws, fails to complete travel arrangements, arrives late, leaves early, or does not attend, except as provided in Section 7 or where applicable law requires otherwise.
The non-refundable rule applies regardless of the date of cancellation because the Organizer may commit program, faculty, accommodation, catering, transport, and other third-party costs in advance. No refund or credit is due for unused sessions, meals, accommodation, transfers, activities, materials, or other included benefits.
6. Non-Transferability and Prohibition on Resale
Registrations, passes, accommodation allocations, certificates, credentials, and package benefits are personal to the confirmed participant and may not be transferred, assigned, shared, resold, or offered to another person. The previous substitution policy is replaced in full by this non-transferability rule.
The Organizer may refuse entry, deactivate credentials, or cancel a registration if a pass has been transferred, shared, or resold without written approval. Any exceptional name change or substitution may be considered only under Section 7 and is not effective unless the Organizer confirms it in writing.
7. Documented Exceptional Circumstances
The Organizer may, at its reasonable discretion and subject to applicable law, review a written request arising from a serious and documented exceptional circumstance that prevents attendance. Examples may include serious illness or injury, death or critical illness of an immediate family member, visa refusal despite a timely and complete application, or another circumstance beyond the participant’s reasonable control.
The request must be submitted as soon as reasonably possible and must include supporting documents satisfactory to the Organizer. The Organizer may request additional information while observing applicable data-protection requirements.
Review of a request does not guarantee a refund, credit, transfer, or other remedy. If the Organizer approves an exception, it may choose an appropriate remedy, which may include:
- a partial refund after deducting non-recoverable administrative and third-party costs;
- a credit toward a future event within a stated validity period; or
- an exceptional approved name change within the same purchasing organization.
Any approved monetary refund will be made to the original payment method or original payer, subject to verification, and may take a reasonable processing period communicated by the Organizer. Approval in one case does not create a precedent or entitlement in another case.
8. Program Changes, Postponement, and Cancellation by the Organizer
The Organizer may make reasonable changes to speakers, faculty, session content, schedule, venue rooms, activities, catering, delivery format, or other operational details. A change of speaker, session order, or comparable program element does not by itself entitle a participant to a refund where the Event is substantially delivered as described.
If the Event is postponed, the registration will ordinarily be carried forward to the rescheduled date. The Organizer will communicate the available options, taking into account applicable law, the nature of the change, and recoverable or non-recoverable third-party commitments.
If the Organizer cancels the Event and does not offer a reasonable replacement or rescheduled event, the Organizer will provide the remedy required by applicable law for the Event services not provided. The Organizer is not responsible for independently booked flights, ferries, visas, insurance, accommodation, or other external costs.
9. Force Majeure
A force majeure event means an event beyond the reasonable control of the affected party, including natural disaster, extreme weather, epidemic or pandemic, war, terrorism, civil unrest, government restriction, border closure, transport-system disruption, labor disruption, major utility or technology failure, or a similar event that materially affects delivery of the Event.
In a force majeure event, the Organizer may postpone, relocate, shorten, modify, or convert all or part of the Event to another format where reasonably necessary. The Organizer will use reasonable efforts to minimize disruption and will communicate available remedies in accordance with applicable law and the circumstances, including the treatment of non-recoverable third-party costs.
10. Accommodation, Room Allocation, and Hotel Charges
Accommodation is subject to hotel availability, occupancy rules, and the category confirmed by the Organizer. Room type, bed configuration, view, adjoining-room requests, and floor preferences are requests only and are not guaranteed. The hotel’s check-in and check-out times and house rules apply.
Room upgrades, extra nights, early check-in, late check-out, additional guests, and companion arrangements require prior confirmation and additional payment. Upgrade availability and photographs are indicative and may vary from the actual room layout or view.
Participants are responsible for personal and incidental charges, damage, smoking penalties, lost keys, additional occupancy charges, and any hotel costs not included in the confirmed package. Early departure, late arrival, or failure to occupy an allocated room does not create a refund entitlement.
11. Travel, Entry Requirements, and Transfers
Participants are responsible for passports, visas, entry permits, health documentation, immigration requirements, and timely travel to the designated arrival point. Any invitation or visa-support letter issued by the Organizer does not guarantee approval or entry into Indonesia.
Published transfers operate only at designated locations and times and may require advance submission of accurate arrival details. Participants who miss a scheduled transfer or change travel plans are responsible for alternative transportation and related costs.
Participants are strongly encouraged to obtain adequate travel, medical, cancellation, baggage, and personal-liability insurance covering the full journey and Event period.
12. Dietary, Accessibility, and Medical Information
Participants should disclose dietary restrictions, allergies, accessibility needs, and other relevant requirements by the stated deadline. The Organizer will make reasonable efforts to accommodate notified needs but cannot guarantee an allergen-free environment or every requested arrangement.
Participants remain responsible for assessing their fitness to travel and participate, carrying necessary medication, and seeking professional medical advice where appropriate. Emergency or medical services may be provided by third parties and may result in costs payable by the participant.
13. Participant Conduct, Safety, and Removal
Participants must behave professionally and respectfully, comply with applicable law, follow reasonable safety and security instructions, respect venue and hotel policies, and refrain from harassment, discrimination, violence, intimidation, unlawful activity, or conduct that disrupts the Event or endangers others.
The Organizer may deny entry or remove a participant where reasonably necessary for safety, security, misconduct, non-payment, misuse of credentials, or material breach of these Terms. A participant removed for their own conduct is not entitled to a refund, subject to applicable law.
14. Program Materials, Intellectual Property, and Recording
Program content, presentations, learning materials, trademarks, recordings, and related intellectual property belong to the Organizer, speakers, academic collaborators, or other identified rights holders. Registration grants the participant a limited, personal, non-exclusive right to use materials for their own learning and internal professional reference.
Participants may not reproduce, publish, sell, distribute, livestream, commercially exploit, or create substantial derivative materials without prior written permission. Audio recording, video recording, screen capture, or photography of restricted sessions or materials is prohibited unless expressly allowed.
Participants must respect confidential or proprietary information identified during the Event. The Organizer does not guarantee that participant discussions or networking interactions will be confidential unless a separate written confidentiality agreement applies.
15. Photography, Recording, and Publicity
The Event may be photographed, filmed, livestreamed, or otherwise recorded. Subject to applicable law, the Organizer may use Event images, audio, video, and participant likenesses for documentation, reporting, publicity, and promotion of the Event and related programs.
A participant who does not wish to be featured in identifiable promotional content should notify the Organizer in writing before the Event and follow any onsite identification procedure communicated by the Organizer. The Organizer will make reasonable efforts to respect such requests but cannot guarantee exclusion from incidental crowd, background, or public-area footage.
16. Personal Data and Privacy
The Organizer may collect and process personal data required for registration and Event delivery, including identity and contact details, organization and job information, payment status, travel and accommodation information, dietary or accessibility information, attendance records, communications, and Event photographs or recordings.
Personal data may be processed to administer registration and payment; deliver accommodation, transport, meals, safety, and program services; communicate Event information; meet legal, accounting, security, and reporting obligations; manage certificates; and, where permitted, provide information about related programs.
The Organizer may share relevant data with hotels, transportation providers, payment processors, technology providers, academic collaborators, speakers, professional advisers, public authorities, and other service providers only where reasonably necessary for these purposes or required by law. Sensitive information will be handled with additional care and only for a legitimate and necessary purpose.
Data will be retained only for as long as reasonably necessary for the stated purposes, legal obligations, dispute management, and legitimate business records. Participants may exercise rights available under applicable data-protection law, including requesting access, correction, restriction, withdrawal of consent where consent is the basis of processing, or deletion where legally available, by contacting the Organizer using the contact details in the registration confirmation or official Event website.
17. Third-Party Services and External Arrangements
Hotels, airlines, ferry operators, transport providers, payment providers, activity operators, and other third parties may apply their own terms, safety rules, privacy notices, and cancellation conditions. The Organizer is not responsible for independent purchases or arrangements made directly between a participant and a third party.
References or links to third-party services do not constitute a guarantee of availability, performance, or suitability. Nothing in this section excludes responsibility that cannot lawfully be excluded.
18. Liability
To the fullest extent permitted by law, the Organizer is not liable for indirect, incidental, special, or consequential loss, loss of profit, loss of opportunity, loss of data, or costs arising from independent travel arrangements, third-party acts, personal belongings, or circumstances beyond the Organizer’s reasonable control.
Where the Organizer is legally liable, its aggregate liability relating to a participant’s registration will not exceed the amount actually paid to the Organizer for that participant’s Event package, except where a limitation is prohibited by law, including liability arising from fraud, wilful misconduct, gross negligence, or death or personal injury that cannot lawfully be limited.
19. Complaints and Dispute Resolution
Questions or complaints should first be submitted in writing through the official Event contact stated on the registration page or confirmation email, together with relevant supporting information. The parties will attempt in good faith to resolve the matter through consultation.
These Terms are governed by the laws of the Republic of Indonesia. If a dispute cannot be resolved amicably, it may be referred to the competent court or consumer-dispute forum available under applicable Indonesian law. Nothing in this section removes any mandatory forum or remedy available to a consumer.
20. General Provisions
Notices. Event notices may be sent to the email address or contact information provided during registration. Participants are responsible for monitoring communications and promptly updating their contact details.
Severability. If any provision is held invalid or unenforceable, it will be interpreted or limited to the minimum extent necessary, and the remaining provisions will continue to apply.
No waiver. A delay or failure to enforce a provision does not waive the right to enforce it later.
Entire agreement and priority. These Terms, the registration confirmation, invoice, and any specific package conditions form the agreement concerning the participant’s registration. If there is a conflict, the specific written confirmation or package condition prevails for that subject, followed by these Terms.
Updates. The Organizer may update these Terms for legal, safety, operational, or administrative reasons. Material updates affecting a confirmed registration will be notified and will not retroactively remove mandatory rights.
Language. These Terms may be made available in English and Bahasa Indonesia. The versions are intended to have the same meaning and will be interpreted consistently with applicable Indonesian law.
